1. Information We Collect

TakeOffTrak collects four categories of information:

  • Account information — your name, email address, and securely hashed password.
  • Uploaded PDF drawings — isometric (ISO) drawings you submit for processing.
  • Extracted data — welds, materials, and supports that our AI pipeline detects from your drawings.
  • Usage data — login times, feature usage, and interaction patterns that help us improve the platform.

2. How We Process Your Drawings

Here is exactly what happens when you upload an ISO drawing:

  • We store your uploaded PDF in our cloud infrastructure (Supabase Storage, hosted on AWS).
  • We send image data from your PDFs to Google's Gemini AI API for extraction.
  • Gemini analyzes each drawing to detect welds, materials, supports, and title block data (drawing number, line number, material spec, schedule, and related metadata).
  • TakeOffTrak accesses the Gemini API through a Cloud Project with an active billing account, qualifying as a "Paid Service" under Google's Gemini API Terms of Service. Under these paid terms, Google does not use your submitted data to train its models. Google's terms distinguish free from paid API access; TakeOffTrak operates exclusively under the paid tier.
  • We store the extracted results (weld counts, material lists, support data) in our database and associate them with your organization.

3. Data Storage & Security

We protect your data with multiple layers of security:

  • Supabase stores all data on Amazon Web Services (AWS) infrastructure.
  • TLS encrypts data in transit; the storage layer encrypts data at rest.
  • Row Level Security (RLS) policies enforce multi-tenant isolation at the database level, keeping each organization's data strictly separate.
  • Application-level authorization checks add a second layer of defense beyond database policies.

4. Data Retention & Deletion

  • We retain your data for as long as your account stays active.
  • You can delete individual jobs and ISOs at any time; doing so removes all associated extractions (welds, materials, supports) and uploaded PDF files.
  • Deleting your account removes every record tied to it.

5. Your Responsibilities

  • Confirm that you hold the right to upload every drawing you submit, including authorization from the drawing owner or project stakeholder.
  • Obtain proper clearance before uploading drawings that contain classified or restricted information.

6. Third-Party Services

TakeOffTrak relies on three third-party services:

  • Google Gemini AI — analyzes drawings, verifies welds, and extracts data from ISO drawings.
  • Supabase — provides our database, authentication, and file storage.
  • Vercel — hosts and serves the web application globally.

7. Changes to This Policy

We may update this policy to reflect changes in our practices or legal requirements. When we make material changes, we will notify registered users by email. Review this page periodically for updates.
