1. Information We Collect

When you use TakeOffTrak, we collect the following types of information:

• Account information — your name, email address, and a securely hashed version of your password.
• Uploaded PDF drawings — isometric (ISO) drawings you upload for processing.
• Extracted data — welds, materials, and supports detected from your drawings by our AI pipeline.
• Usage data — login times, feature usage, and general interaction patterns to improve the platform.

2. How We Process Your Drawings

Transparency about how your drawings are handled is important to us. Here is exactly what happens when you upload an ISO drawing:

• When you upload an ISO drawing PDF, it is stored securely in our cloud infrastructure (Supabase Storage, hosted on AWS).
• To extract data, your drawings are sent to Google's Gemini AI API for processing. This includes sending image data from your PDFs to Google's servers.
• Google Gemini analyzes the drawing content to detect welds, materials, supports, and title block data (drawing number, line number, material spec, schedule, and other metadata).
• Google's API data usage policy applies to data sent for processing. Please refer to Google's Gemini API terms for details on how Google handles data submitted through their API.
• Extracted results (weld counts, material lists, support data) are stored in our database and associated with your organization.

3. Data Storage & Security

We take the security of your data seriously:

• All data is stored on Supabase, which is hosted on Amazon Web Services (AWS) infrastructure.
• Data is encrypted in transit using TLS and encrypted at rest on the storage layer.
• Multi-tenant isolation is enforced via Row Level Security (RLS) policies at the database level, ensuring that each organization's data is strictly isolated from others.
• Application-level authorization checks provide an additional layer of defense beyond database-level policies.

4. Data Retention & Deletion

• Your data is retained for as long as your account remains active.
• You can delete individual jobs and ISOs at any time, which removes all associated extracted data (welds, materials, supports) and uploaded PDF files.
• Deleting your account removes all data associated with it.

5. Your Responsibilities

• You are responsible for ensuring you have the right to upload any drawings you submit to TakeOffTrak. This includes having proper authorization from the drawing owner or project stakeholder.
• You should not upload drawings containing classified or restricted information without appropriate authorization and clearance to do so.

6. Third-Party Services

TakeOffTrak relies on the following third-party services to operate:

• Google Gemini AI — used for drawing analysis, weld verification, and data extraction from ISO drawings.
• Supabase — provides our database, authentication, and file storage infrastructure.
• Vercel — hosts our web application and serves it globally.

7. Changes to This Policy

We may update this privacy policy from time to time to reflect changes in our practices or for legal and regulatory reasons. When we make material changes, we will notify registered users via email. We encourage you to review this page periodically.
